What information we collect
We collect information you provide directly through enquiry forms, onboarding forms, calls and emails. This may include:
- Contact details (name, address, postcode, phone, email)
- Information about the person needing care (health, mobility, daily routine, preferences)
- Carer applicant information (work history, DBS, references, right-to-work documents)
- Website analytics, cookies and tag data (see Cookie Policy)
How we use your information
We use personal data to:
- Respond to enquiries and arrange suitable carer introductions
- Coordinate placements, rotations and ongoing client/carer support
- Vet carer applicants and verify their eligibility to work
- Send service-related emails (e.g. confirmation, follow-up, invoices)
- Improve the website and our services
- Comply with legal and regulatory obligations
Lawful basis
We rely on (a) contract — to arrange and provide our introductory service; (b) legitimate interests — to operate our business, vet carers and respond to enquiries; (c) consent — for marketing communications and non-essential cookies; (d) legal obligation — for safeguarding, anti-fraud and statutory record-keeping. Special-category health data is processed only with explicit consent or where necessary for the provision of care services.
Sharing your information
We share information only as necessary to deliver our service. This may include:
- The matched self-employed carer (for clients)
- Healthcare professionals involved in the client's care, with consent
- DBS and identity verification providers (for carer onboarding)
- Email, hosting, analytics and CRM providers acting as our processors
- Regulators, law enforcement or safeguarding teams where legally required
We never sell personal data.
International transfers
Most of our processors operate in the UK or EEA. Where data is transferred outside the UK, we rely on appropriate safeguards (UK adequacy regulations or Standard Contractual Clauses).
How long we keep data
We retain enquiry data for up to 24 months unless you ask us to delete it sooner. Client and carer records are retained for the duration of the working relationship and for up to 7 years thereafter to meet legal and accounting requirements. Carer DBS and right-to-work records are held in line with statutory guidance.
Your rights
Under UK GDPR you have the right to: access your data, correct inaccuracies, request deletion, restrict processing, object to processing, and request portability. You may also withdraw consent at any time. Email info@setupmycare.co.uk to exercise any of these rights.
